Responsibilities:
*Ensure smooth daily administration and operation of the clinic
*Provides clinic’s administrative duties at the front counter including answering phone calls, registration, cashiering and maintaining appointments
*Record and update clinic inventory, ordering of stock
*Administrative duties including maintaining simple filing etc.
*Clinical duties including chaperoning
*Data entry for account payable using Plato system
*Liaise with external parties endors and communicate via email
*Assist in both physical and e-filing of documents including documents in employees’ P-file
*Take on the role of training coordinator in the business unit and assist on administrative matters including such as course registration, following up on approval & pulling records / report from LMS system
*Provide administrative support & liaise with the relevant personnel on migrant workers’ dormitory matters (registration of stay/ transfer / checking out)
*Assist on the necessary for a smooth on-boarding of new staff including preparation of desk phone, PC, IT set up, printer set up, door access, HRIS set up etc
*Update on staff movement
*Provide administrative support for collation & distribution of HR documents such as employees’ contract renewals, work pass renewals, recruitment & termination of employment
*Take on the role of leave coordinator and ensure all leave application is accurate, with proper documents and up to date
*Provide regular update to various master list including staff records, telephone list
*Attend to staff requests on HR matters and direct them to the rightful personnel
*Ensure all documents for Workmen compensation are in place for HR’s submission to MOM
*Assist in any other administrative & ad-hoc task assigned
*Work closely with Operations Manager for administrative and operational matters

Requirements:
*Minimum Diploma in any disciplines
*Minimum 1-2 working experience in any service industry, preferable in a healthcare
*Prior administrative experience required
*Excellent computer skills. Proficiency in MS Office with expertise in Microsoft Excel, Words & PowerPoints
*Desire to be proactive, detail oriented and comfortable working in a fast-paced office environment. Proactive, committed and self-motivated
*Independent and can work under minimal supervision
*Good interpersonal, communicate and written communication skills
*Organised person who can multitask and fulfil work task deadline
*Efficient and comfortable being a member of a team
*Hardworking, organized, meticulous and able to multi-task, dependable, punctual, a team player.
*Able to converse with English and Mandarin-speaking patients
*Good customer service skills

Remuneration:
*$1800-$2500 (depend on experience)
*5.5 days work week
*Working hours: 8am-5pm/10am-7pm
*Need to work on weekends as Front Line
*Off days on weekdays (arranged by employer)
*Entitle Medical Claims
*Entitle AL and Medical Leave
